The Boys & Girls Clubs of Nassau County Foundation (BGCNCF) places a high priority on protecting your privacy. This Privacy Policy is in place to demonstrate BGCNCF’s firm commitment to the privacy of our donors, volunteers, community partners and supporters, contractors, employees and others with whom we do business as well as our website users. This policy explains what types of information we collect at BGCNCF and at www.bgcnassau.org and how this information is used. We have put in place procedures to ensure your information is handled and protected in the most confidential manner possible.

We use your information only for its intended business purpose. We do not trade, share or sell your information to other organizations or individuals, nor send donor mailings on behalf of other organizations. We respect your confidentiality.

Who is Covered in this Policy?

BGCNCF donors, website visitors to www.bgcnassau.org, volunteers, contractors, employees, partners, sponsors, interested parties, and clients who purchase items, tickets and other individuals who are interested in receiving communications, providing a service or doing business with us. In all cases, the information is provided by you voluntarily to complete the relationship that you request.

What Personally Identifiable Information is Collected?
You may provide us with contact information (such as name, address, email address, phone number). Contractors may provide us with the required IRS information so we may report to you on an IRS Form 1099. Employees may report the required government information including Social Security Numbers. Volunteers may report information required to perform a background check. You may provide credit card information to make a purchase or a donation.

How Your Information May Be Used

If you are an employee, we will use your information as governed by law such as reporting wages and earnings, tax withholdings and Social Security contributions. As a donor, we use your personal information to provide you with a receipt of your tax-deductible donation, a confirmation or receipt for your donations or invoices, or the purchase of a memorial, tickets or other items or products. We may use your information for reporting to you on the progress of the clubs which your donations help support. In addition, we may use your information to enlist your participation in fundraising events or to seek additional donations. Alternatively, we may use the information to answer your specific requests. We confine the uses of information to the specific and limited scope in which you were involved. We share information only as required by law.

We Keep Accurate Records

We keep your personal information as accurate, complete, and up to date as is required to fulfill the purpose(s) for which you provided us with your personal information. We make every reasonable effort to ensure that personal information is accurate and complete. We rely on individuals to notify us if there is a change to their personal information that may affect their relationship with our organization. If you are aware of an error in our information about you, please let us know and we will correct it upon request wherever possible. In some cases, we may ask for a written request for correction. Upon request in writing, we will remove your personal information from our databases, except where legislation or regulation requires our retention of it. (For example, charitable giving history tied to income tax receipts.)

What Personal Employee Information Do We Collect, Use and Disclose?

We collect, use and disclose personal employee information to meet the following purposes:

  • Determining eligibility for employment or volunteer work, including verifying qualifications and references
  • Establishing training and development requirements
  • Assessing performance and managing performance issues if they arise
  • Administering pay and benefits (paid employees only)
  • Processing employee work-related claims (e.g. benefits, workers’ compensation, insurance claims) (paid employees only)
  • Complying with requirements of funding bodies (e.g. grants)
  • Complying with applicable laws

We only collect, use and disclose the amount and type of personal employee information that is reasonable to meet the above purposes. The following is a list of personal employee information that we may collect, use and disclose to meet those purposes.

  • Contact information such as your name, home address, email address and telephone number
  • Criminal background checks
  • Employment or volunteer information such as your resume (including educational background, work history and references), reference information and interview notes, letters of offer and acceptance of employment, policy acknowledgement forms, background verification information, workplace performance evaluations, emergency contacts, etc.
  • Benefit information such as forms relating to applications or changes to health and insurance benefits including medical and dental care, life insurance, short and long term disability, etc. (paid employees only)
  • Financial information, such as pay check deposit information and tax-related information, including Social Security Numbers (paid employees only)
  • Other personal information required for the purposes of our employment or volunteer relationship

We will inform our employees and volunteers of any new purpose for which we will collect, use, or disclose personal employee information, or we will obtain your consent, before or at the time, the information is collected.

We will obtain your consent to collect, use and disclose your personal information for purposes unrelated to the employment or volunteer relationship (e.g. such as providing you with information about a workplace charity-giving program.)

What Information Do We Provide for Employment/Volunteer References?
In some cases, after your employment or volunteer relationship with us ends, we will be contacted by other organizations and asked to provide a reference for you. It is our policy not to disclose personal information about our employees and volunteers to other organizations who request references without consent. The personal information we normally provide in a reference includes confirmation that an individual was an employee or volunteer, including the position, and date range of the employment or volunteering.

Our Privacy Promise Extends Online to our Internet Website

Online event registration information is transmitted via a secure server using encryption technology. Some online forms on our website www.bgcnassau.org are created with third party software providers that also utilize encryption technology.

If you choose to send us email, we may retain the contents of your email message, our reply and your email address as part of our ongoing relationship and customer service efforts. We reserve the right to contact you after you have contacted us and may send future emails and/or surveys to you about BGCNCF. You may notify us via email if you wish to discontinue electronic communication.

Online Credit Card Security

All BGCNCF online credit card transactions are handled through a third party. We use Blackbaud Merchant Services (BBMS) to facilitate payments and money transfers to be made through the Internet. Blackbaud is the leading provider of nonprofit software and services. We do not retain any of your online credit card information. We have verified that BBMS uses Secure Sockets Layer (SSL) online technology or industry standard security measures and encryption technology by the receiver or a third party. Beyond that, we have no control over the physical access to electronically stored credit card information and we can provide no guarantee that the credit card information will be secure.

IP Addresses

BGCNCF uses your IP address to help diagnose problems with our server, to administer www.bgcnassau.org  and bgcnassau.com, and for statistical metrics used to track website visitor traffic.

The Use of Cookies

www.bgcnassau.org uses “cookie” messages that automatically help provide better services. They remind us who you are and your preferences for our website based on what you have done and told us before. The “cookie” is placed in your computer and is read when you come back to our website. Cookies let us take you to the information and features you are particularly interested in. They also let us track your usage of www.bgcnassau.org so we know which parts of our sites are most popular. You can reject cookies or cancel them by instructing your Web browser accordingly.
